Characteristics of the Web that make it possible for PR people to do a better job of distributing information: a. Information can be updated quickly without having to reprint brochures and other materials. This is an important element when it comes to major news events and dealing with a crisis. b. Web allows interactivity; viewers can ask question about products or services, download information of value to them, and let the organization know what they think. c. Online readers can dig deeper into subjects that interest them by linking information provided on other sites, in other articles, and in other sources. d. A great amount of material can be posted. The public, as well as media personnel, can access the information, download selected materials, and even print hard copies. Websites are also interactive, giving public relations staff valuable feedback from consumers. 5. Push and Pull Concepts: a. “Pull” Concept- The web represents the “pull” concept because the user actively searches for sites that can answer specific questions. At the website itself, the user also actively pulls information from the various links that are provided. b. “Push” Concept- the concept of “push” is that of information delivered to the user without active participation. Traditional mass media are illustrative of the “push” concept, as news releases that are automatically sent to the media. 6. Difference between a podcast and a webcast: a. Webcast- Webcast is live streaming, broadcasting of live video content over the Internet. They save time and money because they eliminate the cost of travel for participants. Webcasts tend to be for specific, invited audiences such as analysts or journalists. 90% of companies use it for training to briefings to financial analysts to news conferences. b. Podcast- a podcast is transmitted for general and public use. They are designed to be distributed over the Internet using syndication feeds for playback to computers, MP3 players, iPods, and even smartphones. Many podcasts are audio only. They are cost effective, users can access material 24/7, and they are portable. They can be used for in-depth interviews, news about the company, features giving consumer tips, and training for employees. 7. Difference between organization’s website and a blog written by the CEO or an employee: A corporation uses a blog to become more transparent to their customers. It demonstrates the company’s heart and character. While the website is less personal it’s more about providing information. 8. Using Facebook as a part of PR strategy: Facebook can be seen as an excellent opportunity to make “friends” in several ways. It can gain consumer insights, be used for building brand awareness, and create customer loyalty. Accomplishing these objectives, however, take a great deal of thought and creativity because the PR professional must shape messages that are relevant and interesting to the company’s “friends.” This often requires techniques such as humor, short video clips, music, contests, and audience participation. 9. Media relations specialists often embed QR codes in flyers, media kits, annual reports, brochures and news releases. Chapter 14: Releases, Newsletters, and Brochures 1. Basic purpose of a news release: To get the media to print events and stories about the organization in which the PR practitioner represents. PR staff can be considered the newspaper’s “unpaid reporters” because no media enterprise has enough staff to cover every single event in the community so a lot more of the routine news is processed from news releases written by PR practitioners. 2. SEO is the process of carefully selecting keywords for the news release that make the content easily retrievable. It is important because it allows the news release to receive maximum exposure. It is a way to bypass the gatekeepers and allow the public to find the information on their own. 5. The concept is geared toward providing helpful consumer information and tips about a variety of subjects in an informative way with only a brief mention of the nonprofit or corporation that has distributed the release via forms. 7. Difference between media advisory and fact sheet: a. Media advisory- when PR staff send a memo to reporters and editors about a news conference or upcoming even that they may wish to cover. The most common format is short, bulleted items rather than long paragraphs. b. Fact sheet- 2 kinds i. 1st- summary of the characteristics of new product that serves as a quick reference for a journalist writing a story ii. 2nd Corporate profile- one page summary in billeted list format that gives basic facts about an organization or company. 8. A media kit is used to combine news releases, publicity, photos, and even video clips about a particular even, an issue, or a new product. The purpose is to give editors and reporters a variety of information that makes it easier for them to write about the topic. It typically contains a (1) basic news release, (2) a news feature about the product or service, (3) a fact sheet about the product, organization or event, (4) photos, (5) bios of the spokesperson or chief executive, (6) a basic brochure, and (7) contact information such as emails addresses, phone numbers, and website URLs. 9. A pitch letter is how you get your story noticed over all the others the media receives. Your try to convince the story is newsworthy. 10. Mechanics of organizing a news conference: a. Select a convenient location, one that is fairly easy for news representatives to reach with minimal travel time b. Set the date and time. A time between midmorning and midafternoon is good. c. Distribute a media advisory about the upcoming news conference and make sure that he or she understands and rehearses it. In addition, rehearse the entire conference d. Try to anticipate questions so that the spokesperson can readily answer difficult queries. Problem/solution rehearsals prepare the spokesperson. e. Prepare a media kit. This should include a brief sheet with names and titles of participants, a basic news release, and basic support materials f. Prepare visual materials as necessary. These may include slides, photos, posters, or even a short video g. Make advance arrangement for the room. Be sure that there are enough chairs and leave a center aisle for photographers. If a lectern is used, make certain that it is large enough to accommodate multiple microphones h. Arrive 30 to 60 minutes early to double check arrangements. Meeting and events is a vital tool even in the digital age of texting and social media because they let the audience participate, face to face, in real time. There is still a basic human need to gather, socialize, and be part of a group activity. Individuals attending a meeting or event use all five of their senses- hearing, sight, touch, smell and taste—so they become more emotionally involved in the process. 2. 4 factors of that must be considered in planning a meeting: a. Professional Associations- members of a profession or skilled craft organize for mutual benefit. They place their major emphasis on setting standards for professional performance, establishing a code of ethics, determining requirements for admission to a field, and encouraging members to upgrade their skills through continuing education. b. Trade groups- members usually consist of manufacturers, wholesalers, retailers, or distributors in the same field. Corporate entities, not individuals, are the members. Although members may be rivals competing for market share, it is often to their advantage to work together to promote an entire industry, generate public support, and share information. c. Labor Unions- represent the interests of an entire industry. They PR programs have four basic audiences: patients, medical and administrative staffs, news media, and the community as a whole. b. Health Agencies- They serve the public interest by providing health care, funding for health initiatives, and oversight. After researching the organization, you need to prepare a “case for support” that is tailored to the interests of the corporation or foundation. Matching funds- encourages employees to donate b.
